Job Description

Position Overview:

We are seeking a highly organized and detail-oriented Document Control Specialist to support the Midstream Projects Division . This role is essential in managing, maintaining, and auditing documentation in accordance with both government regulations and company standards . The ideal candidate will possess expert-level SharePoint administration skills , a strong background in records management , and a proven ability to coordinate across multiple stakeholders in a fast-paced, project-driven environment.

Key Responsibilities:

  • Maintain and audit project documentation and final turnover files in compliance with Government and Company standards.
  • Organize and lead training sessions on internal documentation processes.
  • Collaborate with Project Management and the Information Management Group to coordinate document control deliverables with internal teams and contractors.
  • Utilize SAP to locate and review key project data.
  • Navigate LiveLink to retrieve and manage archived project files.
  • Maintain accurate and organized file structures for all Midstream Projects within SharePoint .
  • Perform SharePoint administrative duties , including:
  • Creating and managing internal/external sites.
  • Granting access rights to stakeholders.
  • Ensuring file accessibility and data accuracy across all project teams.
  • Implement project closeout procedures and track compliance using standardized checklists.
  • Serve as the SharePoint SME for the team, offering technical support for all document-related inquiries.
  • Develop and maintain document management systems by creating procedures and optimizing workflows across the Midstream Projects organization.
  • Handle multiple concurrent assignments efficiently through strong time management and prioritization.

Top Must-Have Qualifications:

  1. Expert-level proficiency in SharePoint , with experience as a SharePoint Administrator —this role is heavily SharePoint-focused (approximately 85% of responsibilities).
  2. Intermediate to advanced skills in Microsoft Excel and Outlook .
  3. 6+ years of experience in business environments related to records management , including storage, retrieval, and documentation control.
  4. 4+ years of experience working in the energy and/or construction industry .
  5. Excellent interpersonal, verbal, and written communication skills. Must be capable of managing frequent interactions with Project Managers, leading trainings, and responding clearly and promptly via email, Microsoft Teams, and other channels.
  6. Exceptional organizational abilities—capable of supporting hundreds of projects and dozens of PMs simultaneously. Must demonstrate a structured and reliable method for tracking progress and managing competing priorities.
