We are seeking an enthusiastic candidate to assist office staff and clients in a friendly and professional manner. The candidate will handle scheduling appointments, greeting clients, filing and other general office duties. The candidate must have strong communication skills both verbally and written, as well as be able to work in a fast-paced environment with precision. The candidate needs to be proficient in Microsoft Office (Word, Excel, Outlook).

Key Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression of the office.
  • Ability to operate multi-line phone system and direct calls to appropriate persons
  • Organize and maintain client files and documentation
  • Manage communication with clients, both written and verbal, ensuring professionalism and efficiency
  • Assist in the processing of financial documents, tax returns and reports
  • Perform general office tasks, such as scheduling, managing calendars and maintaining office supplies
  • Provide administrative support to the accounting team, including tasks related to billing
  • Keeping track of project deadlines to ensure tasks are completed efficiently

Other Administrative Duties

  • Filing paperwork and scanning documents
  • Collect and sort mail/packages
  • Maintaining reception/lobby area

Skills and Qualifications

  • High School diploma or equivalent
  • Professional demeanor
  • Two years of relevant experience
  • Ability to operate scanners, fax machines, copiers and printers
  • Attention to detail and accuracy in data entry
  • Ability to work independently and as part of a team
  • Strong organizational and time management skills

Physical Requirements

  • Must be able to perform the essential functions of the job, which include the ability to:
  • Visually assess materials and surroundings (with or without reasonable accommodation)
  • Communicate effectively, including the ability to hear instructions and respond appropriately (with or without reasonable accommodation)
  • Lift and carry items weighing up to 10 pounds, occasionally
